We currently have a fantastic opportunity for an Assistant to the Head Global Clinical Development for our Global Clinical Development Department team in Glattbrugg/Zurich. In this position, you will be providing administrative support through a multitude of standard services to the HGCD as well as to GCD team members. Efficiently processing of short and mid-term tasks according to job-specific requirements and task lists. 
Yours tasks will include the following:
  • Manages HGCD calendar 
  • Reacts on incoming phone calls and e-mails according to standard processes; provides support independently 
  • Coordinates local and international meetings; including logistics, catering and equipment needs, visitor accommodations
  • Makes travel arrangements and prepares meeting schedule arrangements for HGCD and GCD team members 
  • Prepares/Layouts presentations
  • Prepares agendas, takes and completes meeting minutes; coordinates distribution and follows up on action items 
  • Serves as the Meeting facilitator for the PRC meetings in supporting the HGCD as per applicable Vifor Procedure 
  • Independently responds to routine correspondence 
  • Maintains distribution and personnel lists 
  • Coordinates financial processes such as invoicing, payments, expense reports to ensure timely processing 
  • May provide training,guidance and orientation to new team members 
  • Maintains familiarity and cognizance of relevant company process and procedures 
  • Close collaboration with other (Vifor Pharma) PA’s to arrange meetings and functions as holiday back ups 
  • Close coordination with members of Clinical Development Leadership Team (ClinDevLT) and with other key customers
For this role you will need to bring the following requirements:
  • Degree in Business Administration or other similar related degree
  • Minimum 3 to 5 years related experience in an administrative support role
  • 1-2 years experience in a senior administrative support role  
  • Experience in a similar pharma or medical devices disciplinary and/or international environment is preferred
  • Demonstrates a service-oriented approach to all activities
  • Experience with Managing and supporting contracts 
  • Good practice using MS Office tools 
  • Demonstrates a willingness to learn new approaches and to adapt to change 
  • Leads by example in promoting teamwork
  • Strong Communication skills; in English and German both orally and in writing
  • Sets priorities according to needs
  • Takes a proactive approach to identifying service support, information flow and process 
  • Resolves issues appropriately 
  • Effectively works with a wide variety of personnel at different levels within the company
