In this new position, you support the Medical and the Marketing departments in their everyday business. You take care of all the administrative tasks related to travel and meetings arrangements, budget tracking, or event coordination. Your responsibilities include:
- Coordinate internal or external meetings, events, masterclasses including logistics, catereing and equipment needs, visitors accommodations and invitations
- Book flights, make travel arrangements (incl. visas) for team members as well as for Key Opinion Leaders
- Ensure and coordinate financial processes linked to expenses and payment (contract and notices of commission, invoicing and cost tracking related to budgets)
- Update e-platform, a web based platform to share material. Guarantee access to partners and affiliates and manage interface with supplier
- Maintain distribution and/or partner lists and team lists up-to-date
- Independently manage routine processes
- Manage Medical or Marketing projects according to delegation of line manager such as upload references in PromoMats for the validation of the material
For this challenging position, we are looking for a dynamic and reliable person bringing the following profile:
- Business administration education or similar
- 3 to 5 years of experience in a similar function as an assistant for a team or department
- Previous experience in a pharmaceutical company is an asset
- Proficiency in use of MS Office products (Excel, PowerPoint) and other IT systems
- Fluent in French and English both in oral and written conversation.
- Knowledge of German or Spanish is an asset
You hold good communication and organizational skills that enable you to work efficiently in cross-functional terms. You are a proactive person, who identifies service support, information glow and processes needs and adopts a solution-oriented approach to solve issues appropriately. You can work in an autonomous way where you manage effectively your time and set correctly your priorities.
